Fix: OneDrive “File Path Is Too Long” Sync Error (259 Character Limit)
The OneDrive cloud icon in the system tray turns red or shows a warning, and when you click it the error reads This file path is too long, The file name or path is too long, or Path too long. Shorten the file path and try again. The file exists in the browser and other people can open it, but on your PC it either never appears or sits permanently in “Processing changes.”
The same problem surfaces in Explorer as Destination Path Too Long when copying into a synced folder. It typically affects staff who sync large SharePoint libraries, teams that nest documents by client, year, project, and phase, and anyone with a long organization name or Windows username.
Why This Happens
Windows applications still expect paths under 260 characters. The classic Windows API limit, MAX_PATH, is 260 characters including the drive letter and a terminator, leaving about 259 usable. Windows 10 and 11 can allow longer paths, but only applications built to opt in benefit. Explorer and the OneDrive client handle long paths in recent builds; Classic Outlook, many print drivers, and most line-of-business applications do not.
The local path is longer than the server path. On the server, a file in a SharePoint library might have a 150-character URL. On your PC that same file lives under C:\Users\firstname.lastname\Contoso Health Partners\Client Files - Documents\.... The username, the tenant display name, and the library or shortcut name are added in front of every path. A long tenant name alone can add 40 characters.
SharePoint has its own limit. The full decoded URL can be up to 400 characters, so files that are legal on the server can still be illegal on Windows.
Add shortcut to OneDrive makes it worse. A shortcut inserts the full folder name into the local path on top of the user’s own OneDrive path. Two or three nested shortcuts routinely push files past the limit.
How to Fix It
Method 1: Find and shorten the offending paths
- Click the OneDrive cloud icon, open Help & Settings > View sync problems, and note each file listed. The report shows the full local path.
- In the browser, open the file’s folder in SharePoint or OneDrive and rename. Aim for these targets: folder names under 25 characters, file names under 50 characters, no more than 5 levels deep.
- Remove redundant nesting. A path like
Clients\Acme\2026\Acme 2026 Contracts\Acme 2026 Contracts Final\repeats the client and year three times. - While renaming, remove characters OneDrive cannot sync:
" * : < > ? / \ |, leading or trailing spaces, and trailing periods.
Method 2: Shorten the front of the path
- In the Microsoft 365 admin center, go to Settings > Org settings > Organization profile > Organization information. This name becomes
OneDrive - [Name]and the SharePoint sync root on every PC. Shortening “Contoso Health Partners of Northern Virginia” to “CHP” saves dozens of characters per file. Existing synced folders keep the old name until the user unlinks and re-links. - Use the library Sync button instead of Add shortcut to OneDrive for large libraries. Sync places the library directly under
C:\Users\name\[Org]\LibraryNamerather than inside the personal OneDrive tree. - Sync only the branches you need: right-click the synced library, choose Settings > Choose folders, and uncheck the rest.
- Keep Windows usernames short. On a device joined to Entra ID (formerly Azure AD), the profile folder is derived from the account name, so first initial plus last name pays off on every path.
Method 3: Enable Windows long path support (partial mitigation)
This lets long-path-aware apps use paths up to about 32,767 characters. It does not fix applications on the legacy limit.
- Intune: create a Settings Catalog profile, search for Enable Win32 long paths under Administrative Templates > System > Filesystem, set to Enabled, and assign to the device group.
- Group Policy: Computer Configuration > Administrative Templates > System > Filesystem > Enable Win32 long paths.
- Single PC, elevated PowerShell:
New-ItemProperty -Path "HKLM:\SYSTEM\CurrentControlSet\Control\FileSystem" -Name "LongPathsEnabled" -Value 1 -PropertyType DWORD -Force
Restart the device, and confirm the OneDrive client is current under Settings > About; long path handling improved through 2024 and 2025.
Method 4: Reset the sync client after cleanup
If files remain stuck after renaming, reset OneDrive so it re-evaluates the library. This does not delete cloud data.
%localappdata%\Microsoft\OneDrive\onedrive.exe /reset
For per-machine installs use C:\Program Files\Microsoft OneDrive\onedrive.exe /reset. OneDrive restarts within a minute or two; if not, launch it from Start.
Security note: while restructuring, remove stale sharing links and unnecessary broken inheritance. Deep, chaotic folder trees are where oversharing hides, which matters for HIPAA and for Microsoft 365 Copilot readiness.
How to Verify the Fix Worked
- The OneDrive tray icon is a plain cloud or a checkmark with no red X, and View sync problems lists nothing.
- The renamed files show a green check or cloud icon in Explorer and open from the local path.
- Run
Get-ChildItem -Recurse | Where-Object { $_.FullName.Length -gt 240 }in PowerShell from the synced root; it should return nothing. - Files created on the server by another user appear on the PC within a few minutes.
If It Still Isn’t Working
Check the sync logs. OneDrive writes to %localappdata%\Microsoft\OneDrive\logs\Business1. SyncDiagnostics.log summarizes the current state; .odl files hold traces Microsoft support can read.
Confirm which app is failing. If OneDrive shows no errors but Word or Outlook cannot open the file, the application is the limit, not the sync client.
Look for server-side blocks. Blocked file types (SharePoint admin center > Settings > Sync) and libraries over 300,000 items produce similar symptoms.
If a library is so deep that renaming is impractical, stop and plan a restructuring: flatten the hierarchy, use metadata columns instead of folders for year and phase, and migrate with a tool that preserves version history.
How Capital Techies Handles This for Managed Clients
For managed clients, we set a short organization name and a naming standard for sites, libraries, and folders at tenant setup, so the path budget is protected before the first upload. Intune deploys the long path policy and a current OneDrive client, RMM alerts on persistent sync errors, and our SharePoint reviews flatten deep libraries and replace shortcut sprawl with scoped library sync. Because folder cleanup is also a permissions cleanup, the same work reduces oversharing and prepares the tenant for Copilot.
The result is staff who trust that the file on their laptop is the file on the server. Contact Capital Techies or explore our Microsoft 365 services.
Frequently Asked Questions
What is the exact path length limit for OneDrive?
The full decoded URL of a file in SharePoint or OneDrive, including the site and library, can be up to 400 characters. On Windows the local path must also stay under about 259 characters because most desktop applications still use the legacy MAX_PATH limit even when the operating system allows longer paths.
Does enabling Windows long path support fix OneDrive sync errors?
It helps File Explorer and long-path-aware apps, but Classic Outlook and parts of Microsoft Office still fail past 259 characters. Treat it as a partial mitigation; shortening the folder structure is the real fix.
Why does a file that syncs fine for one user fail for another?
Each user’s local path starts differently. A short username and short tenant name produce a shorter path than a long username, a long tenant name, and a nested shortcut. The server path is identical, but the local path crosses the limit for one person and not the other.
